ChatGPT for business: what can it do with company data?

What can ChatGPT do with your company data, and what not? About pasting exports, business plans, data breaches, MCP connections and an AI agent on your data.

Short answer

ChatGPT is strong at writing, summarizing and explaining, but knows nothing about your business until you give it data. Pasting exports into a chat works for one analysis, but gives you a snapshot and can be a data breach if it contains personal data. For recurring questions about revenue, margins and projects, a read-only connection through MCP or an AI agent on synchronized business data is more reliable and easier to govern.

What ChatGPT is good at

In many small businesses, ChatGPT is the first AI tool employees use. For part of the work, that is a good choice. ChatGPT is strong at:

  • writing and rewriting text: quotes, emails, job ads;
  • summarizing: long documents, minutes, contracts;
  • explaining: an Excel formula, an accounting term, a regulation;
  • brainstorming: angles, questions for a customer meeting.

None of these tasks needs access to your business data.

Where it goes wrong: questions about your own figures

As soon as the question is about your own business, such as "which customers pay latest?" or "which projects are overrunning?", ChatGPT does not know the answer. It has no access to your accounting or project software. The temptation is to paste an export. That has three drawbacks.

1. It is a snapshot. Today's export is outdated next week. Every question starts again with exporting and pasting.

2. It is error-prone. An export often lacks columns, includes subtotals or covers the wrong period. A language model then calculates neatly with the wrong input.

3. It can be a data breach. The Dutch Data Protection Authority warned in 2024 that it had received breach notifications because employees had entered personal data of, for example, customers or patients into an AI chatbot. A receivables list with names of sole traders, or an hours overview with employee names, contains personal data.

What a business plan changes, and what it does not

Business plans for ChatGPT, such as Business and Enterprise, give more control: central user management, and according to OpenAI, conversations are not used to train models by default. What a business plan does not solve: ChatGPT still has no current access to your business data. The snapshot and error-prone export problems remain.

Option 1: connect ChatGPT through MCP

With the Model Context Protocol (MCP), ChatGPT can request data from an external source. The DigiData MCP server gives ChatGPT or Claude read-only access to selected synchronized business data. You decide which sources, tables and columns are visible, and you can revoke access at any time.

Agree on rules

Whichever option you choose, make a short agreement with your team. Since February 2025, organizations that deploy AI must ensure sufficient AI literacy among staff. A practical AI policy for a small business fits on one page:

  2. Which data must never go in: personal data, customer data, passwords, confidential contracts.
  3. How to ask questions about company figures: through the connected environment, not through exports.
