Power BI costs: calculate the full cost of reporting
Calculate Power BI costs beyond licences. Compare maintenance, capacity, support and migration effort before deciding which reports to keep or replace.

Short answer
Power BI costs include licences or capacity plus the people and infrastructure needed to prepare data, maintain models, manage access and support reports. Build a twelve-month estimate from your actual contracts and recorded work. Compare that with keeping, simplifying or replacing specific reports. A lower subscription price is not a saving if rebuilding calculations, running both tools and retraining users cost more than the change removes.
Start with the reporting service you actually use
A licence invoice is easy to compare. A reliable management report also needs source connections, business definitions, access management and someone who fixes it when a source changes. Include that work when assessing Power BI costs.
The purpose of this exercise is a decision about your own reports. An established model serving many teams may justify its maintenance cost. List the costs without counting them twice
Use a twelve-month period and record the owner and evidence for each line:
- Licences and capacity from current contracts, including any shared allocation.
- Source preparation, connector maintenance and refresh monitoring.
- Model changes, DAX work, report changes and regression checks.
- Access reviews, support, training and administration.
- Infrastructure operated specifically for the reporting service.
Microsoft's licence rules depend on the user and workspace setup. Check its current documentation before pricing a reader or author. Do not assume that every reader always needs the same licence, or that capacity is automatically economical. Use your actual region, contract and taxes when requesting a quote.
Separate internal time from external invoices. If a support contract already includes model maintenance, adding the same work as a second supplier line inflates the estimate. For shared staff, count the hours allocated to reporting rather than their full salary.
A hypothetical twelve-month comparison
Suppose an organisation records EUR 4,800 for licences and capacity, EUR 9,600 for external maintenance and EUR 6,000 of allocated internal reporting work. Its annual baseline is EUR 20,400. These are invented example inputs, not Microsoft or DigiData prices.
An alternative design might cost EUR 12,000 per year to operate, plus EUR 8,000 to rebuild and validate reports, EUR 2,000 for training and EUR 3,000 of extra overlap costs. Its first year would total EUR 25,000. It is therefore EUR 4,600 more expensive in year one, despite the lower recurring estimate.
If the annual recurring difference of EUR 8,400 is fully realised, the EUR 13,000 transition outlay has a simple payback of about 18.6 months. Contract timing, retained workloads and changing support needs can alter that result. Internal hours become cash savings only when the corresponding spend actually falls.
Compare three realistic options
First estimate keeping Power BI and removing unused reports, duplicate models or unnecessary maintenance. This often provides the clearest baseline because it avoids a rebuild.
Then estimate a mixed setup. Keep complex analytical models in Power BI and move selected operational views elsewhere. Include the administration of both tools. Sharing source data through OData can support coexistence, but each consumer still needs compatible calculations and access rules.
Finally estimate replacement for a defined set of reports. Include source mapping, calculation rebuilding, permissions, exports, user acceptance and rollback. DigiData does not automatically convert PBIX files or DAX models into its own dashboards.
Test the assumptions before cancelling anything
Choose one representative report with a known owner. Measure build effort and compare totals by period and business unit. Ask real readers to complete their usual task in the proposed setup. A visually similar chart is not evidence of equivalent filtering or access.
Repeat the estimate with higher transition effort and lower realised savings. If the decision only works with every optimistic assumption, gather more evidence. Include contractual renewal dates so theoretical savings are not counted before a licence can actually be removed.
