Link Exact Online to ChatGPT via DigiData MCP

Sync first, ask questions later

The Exact Online integration retrieves selected administration data in advance to the protected DigiData environment. ChatGPT does not directly request the Exact Online API for every question. That separates source authentication and synchronization from the interactive conversation.

Via DigiData MCP, ChatGPT only gets access to the dataset that a DigiData administrator designates for that connection. The link is read-only: there are no tools to change bookings, relations, invoices or other source records.

Conditions

You need an active Exact Online link in DigiData, a DigiData administrator and a supported ChatGPT workspace. OpenAI describes MCP apps and developer mode as features whose availability depends on plan, workspace policy, and administrative permissions. Therefore, please check the current ChatGPT MCP manual before you start.

Step 1: check the Exact Online data

Check in DigiData whether the correct administration or division has been linked and the last synchronization was successful. Determine which tables and columns are actually needed. Relationships, invoices, due dates and amounts may be relevant for a debtor analysis; do not automatically release all available Exact Online data.

Step 2: Make the AI connection

Open Settings and choose AI Connections. Select ChatGPT, give the connection a recognizable name and record the source, table and column selection. DigiData shows one fixed MCP server URL.

Add that URL as a custom MCP app according to the current OpenAI steps. ChatGPT then starts the DigiData OAuth flow. Sign in, complete 2FA where required, and review consent before confirming.

Step 3: Test small

First ask what resources are available without retrieving records. Then check the synchronization status of Exact Online and describe the schema of one allowed table. Only then query a small number of selected columns.

Safe starting questions include a grouping by month, the largest outstanding items within a chosen period or a list of available fields for a margin analysis. Always have the assistant mention the table, reference date and applied filters.

Manage access

An administrator can adjust the allow list or revoke the connection. DigiData checks the current status with every tool call, so that an old token is not allowed to continue using a revoked connection. Also remove the app from ChatGPT when the integration is no longer needed.

Privacy and plan conditions

DigiData does not use the questions and company data to train models. Data returned to ChatGPT via MCP is then also covered by the chosen OpenAI plan, workspace settings and contract. Personal and business OpenAI products do not have the same standard terms; let the workspace administrator review that choice.

Alternatives
